Storage & Retrieval

We understand that managing the storage of your important documents can take up valuable time, resources and space. We also appreciate how important it is to be able to retrieve that all important document quickly and easily when you need it.

Using the O'Neil Barcode Track and Trace System, we provide point to point tracking with 100% accuracy. Our Retrieval and Pickup service is fast, accurate and efficient.

Within our secure facilities, your documents are protected against fire, theft and unauthorised access. By using humidity control systems we make sure that your documents are maintained in a perfect storage environment. As part of our archive facility, we house a wide range of document types:

Financial and Accounting Records, Insolvency Records, Employee Records, Client Records, Medical Records, Legal Documents, Plans and Technical Drawings, Council Records, Disaster Recovery Information, Sales and Marketing Literature.

Box Supply

To ensure all your documents are stored safely and efficiently, we provide specialist archive boxes in five different sizes with the following internal dimensions:

  • Transfer Case (Size 04): W135mm x H260mm x L390mm
  • Standard Archive Box (Size 01): W275mm x H240mm x L370mm, weight up to 16 Kilos
  • Large Archive Box (Size 02): W330mm x H280mm x L390mm, weight up to 16 Kilos
  • Extra Large Archive Box (Size 03): W370mm x H280mm x L445mm, weight up to 16 Kilos
  • Plan Holder: W150mm x H150mm x L965mm

Document Management

RSWeb(tm) provides Box-it South Midlands clients with the convenience of managing their off-site document inventory from the comfort of their own PC or indeed, any web-enabled computer.  Clients keep a complete inventory of their documents held in store, can easily update that information, ensure effective document retention and destruction scheduling, run management reports, monitor document movements and order services.

Scanning & Electronic Document Management

A secure web-based image management system offers Box-it South Midlands clients the added flexibility of access to scanned images of their documents. Scanned document retrieval provides a fast and convenient method of access, minimising document handling and making documents instantly available for use from any computer with internet access, this service is known as "Scan on Demand".

Cataloguing & Indexing

Our cataloguing and indexing service gives you accurate document knowledge, enabling fast and accurate retrieval of all your documents. Once catalogued an extensive list can be supplied to you or viewed via RSWeb™

Confidential Destruction

We provide a confidential review, shredding and destruction service which allows you to retain maximum integrity of your documents. Once you have allocated a review date to your documents, this is captured on to our track and trace system. Management review reports are generated on a monthly basis. Once authorisation is received and approved all documents will be shredded and baled ready for recycling.

We can also arrange regular scheduled collections of ordinary paper waste and confidential papers for destruction from your offices and provide lockable waste paper consoles to keep your office looking neat and tidy.
